The Community Association Manager (CAM) should discuss the need for a Board Orientation with their Regional Director (RD). Once the RD has approved the Orientation, the CAM must submit a Board Orientation Request (complete the form below).

The CAM will indicate which days the CAM is not available and any specific meeting requests from the Board. This submission is forwarded to the HOA Project Manager who will send three ‘Save The Date’ calendar invitations to the Vice President of Community Management, RD, and CAM. It is the CAM’s responsibility to have their Board select one of the three potential dates. Save The Date calendar invites will only be held for thirty (30) days. If no response has been received from the CAM within that time period, the Board Orientation request and Save The Dates will be deleted.

Once the Board has selected a date, the CAM must notify the HOA Project Manager, who will then send a confirmed calendar invite for the selected date to all required Hammersmith® attendees from each department and cancel the remaining Save The Date appointments. The HOA Project Manager will also send out calendar invites for the deadlines associated with the Orientation – i.e. Agenda Review (RD and CAM), final Board Member attendees list (CAM), and financial package (Accounting). The Board Orientation Package will not be printed and food will not be ordered until the CAM has confirmed that a majority of the Board Members are attending and the names of the attendees have been communicated to the HOA Project Manager. This information must be relayed to the HOA Project Manager no later than three (3) business days before the Orientation.
