Homewise – Condo Questionnaires, Status Letters, and Document Orders

Homewise is a third party website used for document orders (for non-owners) and condo questionnaire orders. Agents must set up an account with a sign in name and password on Homewise before they are able to place any orders.

All orders must be placed online – but they can call Homewise customer support at 866-925-5004 if needed.

You can use this sign in to walk the agent through the website ordering process, in order to see what they are seeing. However, please do not complete the full order process, and if you accidentally do, please notify a Community Care Supervisor so we can cancel the order on the back end.

For internal purposes only, certain Specialists handle processing of all HomeWise order requests.  For assistance with calls, please reach out to Joey Kipilo or a member of CSS.  Please do not transfer calls to them regarding Homewise orders, but you can reach out to them for assistance INTERNALLY.

Please know there are only 3 options on Homewise:

  • Order a Status Letter Bundle with all available Association Documents
  • Order a Lender Condo Questionnaire Bundle with all available Association Documents
  • Order the Fee schedule (this document is free and lists the costs for ordering the above items)

Realtors are the only agents that can order documents ala carte through Homewise, and they are able to get the documents for free if they are registered as a Realtor with Homewise.

Condo Questionnaires (Information Letters)
Information Letters are also referred to as condo questionnaires by most agents (or condo certs). This is typically requested by the lending agent or bank, and is mostly specific to information regarding the Association as a whole, and is needed to determine if the bank will fund the loan for purchase of a unit within the HOA. Typical questions asked within the questionnaire are:

 How many total units are in the project?
 How many rentals/off-site owners are there?
 How many units are more than 30 days delinquent?
 Is the Association involved in litigation?

Condo Questionnaires are not free to anyone (including Homeowners).  The starting price for a Condo Questionnaire bundle is $297.00.  There may be additional costs based on the options selected at the time of order, for custom or lender specific forms, or for any rush requests.

Condo Questionnaires can be ordered and paid for through our website at eHammersmith.com, under the Real Estate Services tab.  They will be forwarded to HomeWisedocs.com to place their order.  They can also go directly to www.homewisedocs.com.

Why do we charge the fees we charge for a Condo Questionnaire?

Hammersmith charges a fee to provide Condo Questionnaires in order to cover the costs of:

· Maintaining the database required to track the requested information.

· Updating monthly and annual information changes such as the assessment balances due, rental vs. ownership numbers, current insurance policies, annual budgets, reserve budgets, assessment fees, etc.

· In addition, Hammersmith is legally and financially liable for the accuracy of the information provided.

These fees are common in the industry for such services; they are certainly not arbitrary or predatory.

Why won’t we sign the Condo Questionnaire as completed by a specific employee?  

It is the policy of Hammersmith to not have an individual sign a questionnaire based on the potential penalties imposed by FHA and as recommend by industry experts.  All Condo Questionnaires are signed as completed by “Hammersmith Management.”

A copy of the questions answered on a standard questionnaire are attached at the bottom of this article, and can also be viewed on homewisedocs.com.

Status Letters
Status letters are requested by the title company when a closing has been scheduled, and are
specific to an individual unit/home. Status letters may also be referred to as a “settlement statement.”

The status letter is ordered online at www.ehammersmith.com under the Real Estate Services tab.  Most orders will go through Homewise, however there is a list of HOAs that are exceptions that cannot be ordered through Homewise and a link is provided on the website to order Status Letters for those HOAs without going through Homewise.

*Note – If we receive a status letter request for one of the exception HOAs that we process in house (not on Homewise), then the Association documents will be provided to the requestor as part of their Status Letter Order.  There is no where for them to order these documents by themselves.

The status letter will state the name of the buyer and seller, state what amounts must be collected by
each party at closing, and if there are outstanding covenant violations, liens or other specific
information to the property that is being sold in order to complete transfer of the property.

The Status Letter bundle with all available Association Documents starts at $342.00.  There is a transfer fee of $265.00 in addition to the Status Letter fee, but the transfer fee is collected at closing.  There may be additional fees based on options selected by the requester, such as RUSH fees or other fees applicable based on their selections during the checkout process.

Status letters are processed by Denise Heinrich and the AR Specialists.  Denise Heinrich can handle calls from Title companies for accounts NOT at the attorney.  All attorney calls must be directed to the individual AR Specialist.  The AR Specialists will be the point of contact should Denise be out of the office.

Why do we charge the fees that we charge for a Status Letter? 

The status letter fees charged by and paid to the management company are for changing the owner information in the database, but are also to cover the liability incurred by the management company for the information provided, including but not limited to:  amount of assessments due, status of assessments, services included in the assessments, status of any outstanding covenant violations and status of any outstanding architectural control violations. These charges also cover our time in talking with and answering questions of the realtors, appraisers and potential buyers.
