Technology Services News and Updates – December 29th, 2017

Happy Friday! Welcome to our weekly Technology Services newsletter for Hammersmith®! We hope you all had a good week and have a Happy New Year!

We’re heading into our year end crunch time on major projects and will be continuing our focus on Office 365 email, SmartWebs, and GRID AP.

PROJECT IMPACTS AND STATUS

  1. Regular Friday maintenance tonight, December 29th, 2017

Our regular maintenance schedule continues tonight from 10:00 PM to 2:00 AM.

We are working on several general maintenance items

–          RUN and Jenark maintenance.

–          Server updates and installs

–          AntiVirus updates and maintenance

–          Office 365 environment updates, permissions, and prep for January 3rd

During our maintenance window servers, data, and connections to the network will be unavailable. PILERA AND EMAIL WILL CONTINUE FUNCTIONING AS USUAL.

  1. Office 365 and Email

The move of our Email accounts and system to Office 365 will be completed for all users NEXT WEDNESDAY – THURSDAY, January 3rd and 4th! IT will be working most of the day and through the night on this transition on those two days.

WHAT TO EXPECT AND PREPARE FOR Beginning Wednesday, January 3rd, we will be moving our primary email location over to Office 365. On Wednesday we will be downloading copies of all active Mailboxes to be moved over starting that night and into January 4th.

The morning of January 4th we will be working with everyone for the redo of your email account in Outlook. The process will be simple but will take time. We will be providing instructional screenshots and steps to everyone beginning January 2nd so you can be prepared.

IMPORTANT

Your old emails and information WILL be transferred over to the new environment, HOWEVER, it will take some time for all of them to show up in your Outlook and will be updating throughout the day on Thursday, January 4th. The IT Team will be working these transitions in a priority order starting with CAMS.

  1. SmartWebs

Thanks to many of you we are getting closer to catching up on the missed SmartWebs data sheets!!

We have successfully setup 15 Associations in SmartWebs and there are 100 currently in process.

Training for the use of SmartWebs has been scheduled starting January 16th and CAMs and Community Care have been invited. Make sure to look at the dates and times as you receive them.

  1. GRID AP

GRID AP, our new invoice and check processing system for our clients, is set to go live with several associations January 2nd! We are currently working on finishing access to this system via the web and Accounting will be working with GRID to begin the use of this tool.
