Technology Services News and Updates – December 15th, 2017 

Happy Friday! Welcome to our weekly Technology Services newsletter for Hammersmith®! We hope you all had a good week! 

We’re heading into our year end crunch time on major projects and will be continuing our focus on Office 365 email, SmartWebs, and also GRID AP. 

PROJECT IMPACTS AND STATUS 

  1. Regular Friday maintenance tonight, December 15th, 2017 

Our regular maintenance schedule continues tonight from 10:00 PM to 2:00 AM. 

We are working on several items as we prepare for our major project completions 

  • Updates and changes to Office 2016 on the HMI-REM servers to improve speed and response. 
  • Email box backups and downloads in preparation for moving email accounts from our current provider to Office 365 
  • Updates and edits to our Firewall for network access improvements 
  • Maintenance on RUN and Jenark 
  • 2 new server builds in prep for GRID AP 
  • General windows updates and security installs 

During our maintenance window servers, data, and connections to the network will be unavailable. PILERA AND EMAIL WILL CONTINUE FUNCTIONING AS USUAL. 

  1. SmartWebs 

From the SmartWebs Team:

Thanks to many of you we are getting closer to catching up on the missed SmartWebs data sheets!!  

If you have any outstanding or have completed some of your Associations (all sheets for an Association), please get them in as soon as possible. We would like for everyone to start benefiting from the tools offered in the software, which will hopefully make some of your duties less labor intensive.  

The final push is on to have the rest of the sheets in so please do your best to prioritize this task.

  1. GRID AP 

GRID AP is a new software system that will allow us to perform invoice and check processing for our clients in a more efficient manner. This system will be in our environment and work with Jenark to provide invoice approval and setup. We have been working with GRID AP over the last several weeks with testing out their software and connectivity to Jenark and will be building 2 servers in our environment to be used for this system. Once the server builds are complete GRID AP will be working with our Accounting team to begin the process of setting up this new tool for our Associations. 

  1. Office 365 and Email 

We are working this weekend on several items related to email as we move our service over to Office 365. We are going to be cleaning up individual user information including titles,  the Hammersmith® name, and lines of reporting in Active Directory. We are continuing the process of moving old user mailboxes to secondary storage and setting up shared calendars, equipment, and permissions in Office 365. 

NEXT STEPS
Beginning Friday, December 15th, we are starting the move of email for Community Care team members to the new system. We will be coordinating with each individual for the setup and move of these boxes. Once complete we will be moving Accounting, Followed by the CAM team. HR and our Executive Management Teams will then be completed.
