Technology Services News and Updates – November 17th, 2017

Happy Friday! Welcome to our weekly Technology Services newsletter for Hammersmith®! We hope you all had a good week!

It’s been a beneficial couple of weeks working with Anthony Jean-Paul on planning and projects. To that end we are making some changes and focusing our efforts and time on two projects to ensure we complete them in a timely fashion.

BE SURE TO REVIEW TONIGHTS MAINTENANCE ITEMS FOR IMPORTANT CHANGES!

PROJECT IMPACTS AND STATUS

  1. Regular Friday maintenance tonight, December 8th, 2017

We are continuing our regular, calendared maintenance on systems and network tonight from 10:00 PM to 2:00 AM. By working on a consistent and standardized basis we will be able to get in front of any updates, issues, and preparation for new projects. TONIGHT INCLUDES A VERY IMPORTANT UPDATE FOR EVERYONE:

–  We will be upgrading and installing Office 2016 on all Remote Desktop Servers!

–  When you login to HMI-REM after 2 AM on Friday, December 8th your Word, Excel, Outlook, etc. will be the newest version of Microsoft
Office! All functions and use will remain the same, HOWEVER, the look, feel, and location of some of you menu items may change.

–  Active Directory, User, and Email cleanup in preparation for moving our email to Office 365.

During our maintenance window servers, data, and connections to the network will be unavailable. PILERA AND EMAIL WILL CONTINUE FUNCTIONING AS USUAL.

  1. SmartWebs

We are continuing to rollout our communities into Smartwebs phase-by-phase.  Our rollout is behind schedule due to the Smartwebs data sheets taking longer than anticipated. We know how time consuming the sheets are so we have found a way to upload the Vendors for you so you will not have to complete that part of the form. You will need to assign Vendors to your communities once you have a log in. To all the CAMs: start your Smartwebs data sheets now, even if you are not scheduled to rollout until the end.  They can take longer than you think.  If you complete your spreadsheets early please submit your data now. Thank you.

 

  1. Office 365 and Email

Tonight is one of many big changes and steps that will be taking place through the end of 2017 as we move from our current Hosted Exchange email to Office 365. Our focus is on moving everyone to Office 2016 and having all of our email on Office 365 by December 31st. Once this is completed there will be continued additions, improvements, and new features and services that we will be adding. Stay tuned as we progress

NEXT STEPS FOR OFFICE 365

After the completion of upgrading our servers to Office 2016 we will be transitioning people over in groups to Office 365 email. We will be beginning this process next week with Community Care. We will be sending out a schedule for the remainder of the year and what to expect next week!
