Happy Friday! Welcome to our weekly Technology Services newsletter for Hammersmith®! We hope you all had a good week!

It’s been another busy week! Here are some updates for this week and heading into next. BE SURE TO REVIEW TONIGHTS MAINTENANCE ITEMS

WEEK IN SUMMARY AND IMPORTANT REMINDERS

EQUIPMENT CHECKOUT REMINDER
With us being in the middle of Budget Season it is critical that all equipment that is checked out for meetings is returned AS SOON AS POSSIBLE the following morning. We need to ensure that everyone has the equipment they need for their meetings and time is of the essence. Thank you.

SAMANAGE – IT and Business Center Ticketing system is live!

We have successfully moved to our new support system for IT and Business Center. This new system allows us to do things more efficiently and report more effectively. REMINDER – The best way to submit a ticket is through our support portal which can be reached from the IT Help link on MyHMI.

Office 365 and Server Upgrades

We are making progress in our work on transitioning to Office 365 and Server 2012. Our goal is to have all of our Server infrastructure upgraded by the end of November and begin transitioning people over to Office 365 Beginning the 1st of December. We will be providing additional documentation, training, and information on this transition as we bring people over to the new environment.

UPCOMING PROJECTS

Regular Friday maintenance tonight, November 17th, 2017

We are continuing our regular, calendared maintenance on systems and network tonight from 10:00 PM to 2:00 AM. By working on a consistent and standardized basis we will be able to get in front of any updates, issues, and preparation for new projects. The items for this week are:

  • Network and User permission cleanup and add to Office 365
  • Virtual Server 2 Upgrade
  • New Server 2012 Domain Controller finalization and update for addition to our system
  • General windows and server software updates, patches, and cleanup
  • Phone system maintenance and cleanup
  • Run and Jenark maintenance and cleanup
  • Office 365 Permissions and Structure setup

During our maintenance window servers, data, and connections to the network will be unavailable. PILERA AND EMAIL WILL CONTINUE FUNCTIONING AS USUAL.

SmartWebs transition of Associations beginning

We are continuing to rollout our communities into Smartwebs phase-by-phase.  Our rollout is slightly behind schedule due to the Smartwebs data sheets taking longer than anticipated.  To all the CAMs: start your Smartwebs data sheets now, even if you are not scheduled to rollout until the end.  They can take longer than you think.  Everyone who needs access will be created in Smartwebs next week.  Tammi Martin will be sending your login info so look out for that if you haven’t received one.

Preparation for removal of RUN by end of 2017!

With the upgrades and changes taking place with the above-mentioned systems and software, we are beginning the preparation of our systems for the removal of RUN from production! As we progress we will keep everyone informed. The data and information will continue to be available for some time but the active use of RUN will cease by the end of 2017.
