Pilera Homeowner Portal Roll-Out

Dear Hammersmith Team Members,

We are excited to announce the roll out of the Pilera Homeowner Portal to our clients. The roll-out plan is tentatively set to begin on 04/24/17, and a schedule of the roll out by Association will be available soon. Please know this is going to be done in phases. We will not be opening the Homeowner Portal for all Associations at one time.

Many of you have already attended webinar trainings regarding Pilera which included an overview of the Management functions, Unit Accounts, and the Homeowner Portal. Changes have been made since those webinars were presented regarding certain functions in Pilera that we will no longer be using. Please note the following:

  • We will not be processing work orders within Pilera. These functions/features will be disabled in Pilera. Work orders will continue to be processed in RUN.
  • The Marketplace feature is being removed.
  • We will not be noting accounts or attaching documents in Pilera at this time. This will continue to be done in RUN.
  • Just for confirmation, we will also continue to process all violations and architecturals in RUN as originally planned.

We will be using the following functions and features in Pilera at this time:

  • Homeowner Portal – change/update info, view their financial info, etc.
  • Document Library – documents from Association Voice are being uploaded into the library before each Association goes live
  • Knowledge Base – FAQs turned on that add value to the homeowner to self-serve
  • Communications – all e-blasts and messaging – please use email only at this time – DO NOT use the text and phone features at this time as there are additional costs/changes coming with those options. Please also note pictures and rich text are not available in the body of the email but must be included as an attachment and sent through the “Send Documents” page
  • Viewing of Unit Accounting/Financial information – connected to Jenark with real time updates from Jenark

Once the Homeowner Portals are live, please remember Homeowners will have access to see all information in the Knowledge Base for topics that are set with “Owner, Tenant” permissions.

We have also set up a Pilera Q&A Session that anyone is welcome to attend prior to the roll-out of the Homeowner Portal. The Meeting information is copied below:
